These terms and conditions govern the relationship between you and The Reformer Experience (operated by Victoria, a sole trader based in the Algarve, Portugal) when you book or enquire about a retreat. By submitting an enquiry or making a booking, you confirm that you have read and agree to these terms.

These terms are governed by Portuguese law. Any disputes that cannot be resolved amicably may be referred to the Portuguese courts or, for consumers, to an authorised alternative dispute resolution body. EU consumers may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.

All retreats are taken on by application only. Submitting an enquiry form does not constitute a booking. A booking is confirmed only when we have accepted your application in writing and you have paid the required deposit.

We reserve the right to decline any application without giving a reason. We accept a limited number of groups each year and availability is not guaranteed.

A non-refundable deposit is required to secure your dates. The deposit amount will be confirmed in writing at the time of booking. The remaining balance is due no later than 60 days before the first day of your retreat, unless otherwise agreed in writing.

For the July 2026 group retreat, the deposit is €580 per person. The full balance is due 60 days before the retreat start date.

If the balance is not received by the due date, we reserve the right to release your dates and retain the deposit.

If you need to cancel your booking, please notify us in writing as soon as possible. The following cancellation policy applies:

More than 60 days before the retreat: The deposit is forfeited. No further charge applies.

30 to 60 days before the retreat: 50% of the total booking value is due.

Fewer than 30 days before the retreat: 100% of the total booking value is due.

We strongly recommend that you take out comprehensive travel insurance that covers cancellation, medical expenses, and personal liability before booking.

We reserve the right to cancel or significantly alter a retreat in exceptional circumstances, including but not limited to severe weather, force majeure, or circumstances beyond our reasonable control. In such cases, we will offer you the choice of an alternative date or a full refund of all monies paid to us.

We are not responsible for any travel, accommodation or other costs you incur outside of what is included in your retreat package. This is another reason we recommend comprehensive travel insurance.

The specific inclusions of your retreat will be confirmed in writing at the time of booking. Unless explicitly stated in your booking confirmation, the retreat price does not include international or domestic flights, travel to and from the Algarve, personal travel insurance, or personal expenses.

Reformer Pilates is a low-impact exercise suitable for most fitness levels. However, it is your responsibility to inform us of any medical conditions, injuries, or physical limitations before your retreat. We may ask you to complete a health questionnaire prior to arrival.

By booking, you confirm that you are in good health and that you are not aware of any reason why participation in Reformer Pilates or any other retreat activity would be inadvisable. If in doubt, please consult your doctor before booking.

We reserve the right to exclude any participant from a session if, in our reasonable judgement, their participation poses a risk to themselves or others.

We take all reasonable steps to ensure your safety and wellbeing during your retreat. However, participation in physical activities carries an inherent risk of injury. To the fullest extent permitted by Portuguese and EU law, our liability for any claim arising from your retreat is limited to the total amount you paid for that retreat.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

We may take photographs or video during retreats for use on our website and social media. We will always ask for your consent before using any image in which you are identifiable. You may withdraw consent at any time by contacting us at [email protected].
