Who we are

The Reformer Experience is operated by Victoria, a sole trader based in the Algarve, Portugal. For the purposes of this policy, "we", "us" and "our" refer to The Reformer Experience.

This website is hosted at reformerexperience.com and is directed at adults based in the European Union and United Kingdom.

What data we collect and why

We collect personal data only when you voluntarily provide it to us. The categories of data we may collect are as follows.

Enquiry and contact data. When you submit an enquiry through our contact form or send us an email, we collect your name, email address, and any information you choose to include in your message. We use this data to respond to your enquiry and, where relevant, to put together a retreat proposal for your group. The legal basis for this processing is the performance of a contract or steps taken at your request prior to entering a contract (Article 6(1)(b) GDPR), and where applicable our legitimate interest in responding to business communications (Article 6(1)(f) GDPR).

Booking and payment data. If you proceed with a booking, we will collect the information necessary to confirm your reservation and process your deposit. Payment transactions are handled by our third-party payment processor and we do not store full card details on our systems. The legal basis is the performance of a contract (Article 6(1)(b) GDPR).

Analytics data. Our website uses privacy-respecting analytics to understand how visitors use the site. This data is aggregated and does not identify individual users. No cookies are placed on your device for advertising or tracking purposes.

How long we keep your data

We retain enquiry correspondence for up to 24 months in case you return to enquire again or to fulfil any ongoing contractual obligation. Booking records are retained for 7 years to comply with Portuguese and EU tax and accounting obligations. You may request deletion of your data at any time (see Your Rights below).

Who we share your data with

We do not sell, rent or trade your personal data. We may share limited data with the following categories of third party where strictly necessary to deliver your retreat:

Service providers. Villa owners, private chefs, massage therapists and other local practitioners who need your name and dietary or health information to prepare for your stay. We share only what is necessary and these parties are bound to keep it confidential.

Technology providers. Our website is hosted on servers within the European Economic Area. Our enquiry form is processed by Formspree, Inc., which is certified under the EU-US Data Privacy Framework. Our analytics provider processes data in an anonymised form only.

We will disclose personal data to law enforcement or regulatory bodies if required to do so by law.

International transfers

Where any of our service providers are based outside the European Economic Area, we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, or that the recipient country has been granted an adequacy decision.

Your rights under GDPR

If you are based in the European Union or United Kingdom, you have the following rights in relation to your personal data:

Right of access. You may request a copy of the personal data we hold about you.

Right to rectification. You may ask us to correct inaccurate or incomplete data.

Right to erasure. You may ask us to delete your data where there is no longer a lawful basis for us to hold it.

Right to restriction. You may ask us to restrict processing of your data in certain circumstances.

Right to data portability. Where processing is based on consent or contract and carried out by automated means, you may request your data in a structured, machine-readable format.

Right to object. You may object to processing based on our legitimate interests.

You also have the right to lodge a complaint with the Portuguese data protection authority, the CNPD (cnpd.pt), or the UK Information Commissioner's Office (ico.org.uk) if you believe we have not handled your data lawfully.

Cookies

This website does not use advertising or tracking cookies. We may use a single session cookie to maintain the functionality of the enquiry form. This cookie is strictly necessary and does not require your consent under the ePrivacy Directive.

Children

Our retreats are designed for adults. We do not knowingly collect personal data from anyone under the age of 18. If you believe a child has submitted data to us, please contact us and we will delete it promptly.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or applicable law. The date at the top of this page will always show when it was last revised. We encourage you to review it periodically.
